TRS Illinois Death Certificate Requirements: How Many You Need and Why
TRS Requires a Certified Copy — Not a Photocopy
When you file a survivor benefits claim with TRS Illinois, the claim packet requires an official, certified copy of the death certificate issued by the county clerk or the Illinois Department of Public Health. A photocopy, funeral-home service document, or hospital record is not the certified copy TRS requires.
The death certificate must list the cause and manner of death as part of the claim's required supporting documentation. If either is still pending, ask TRS whether to submit the rest of the claim packet while waiting for the completed certificate.
How Many Certified Copies to Order
TRS requires a certified death certificate for the survivor benefits claim. Other agencies and institutions have their own document procedures, so confirm what each one requires before ordering extra certified copies.
A practical order for an Illinois teacher's surviving family:
- TRS Illinois — Certified death certificate for the survivor benefits claim
- Social Security Administration — Ask SSA what proof of death it needs when filing for survivor benefits after the GPO and WEP repeal
- CMS MyBenefits — Confirm what documentation it requires for TRIP/TRAIL health insurance enrollment
- Banks and financial institutions — Ask each institution what it requires to close or retitle accounts and handle post-death pension deposits
- Life insurance companies — Ask each insurer what proof is required for the policy claim
- County recorder — Confirm documentation requirements if real property needs to be retitled
- Probate court — Confirm filing requirements if the estate needs formal administration
Before ordering multiple copies, ask each recipient whether it needs a certified original or accepts another form of proof. Check the current fee with the county clerk or IDPH before placing the order.
Where to Order Certified Copies in Illinois
County clerk's office in the county where the death occurred — ask about available ordering methods, current fees, and delivery estimates.
Illinois Department of Public Health (IDPH) — handles statewide requests. Check its current ordering instructions, fees, and processing estimates before ordering.
VitalChek — before ordering, confirm its current status with IDPH and review the service fee and delivery estimate.
The funeral home may offer to order certified copies as part of its services. Ask whether it provides this service and what fee and delivery estimate it quotes.

Spouse and Marriage Certificate Requirements
Beyond the death certificate, TRS requires additional certified vital records depending on the claimant's relationship to the deceased:
Surviving spouse or civil union partner: A certified copy of the marriage certificate or civil union license is required. If the marriage occurred less than one year before the member's death, TRS also requires certified birth certificates for any natural children of the marriage. This documentation satisfies the statutory exception to the one-year marriage duration rule.
Dependent children: Certified birth certificates listing the TRS member as a parent. A child must be unmarried. For children ages 18 to 22, provide official proof of full-time enrollment at an accredited institution. For disabled adult children, provide physician-certified evidence of a continuous disability originating before age 26 and federal tax records showing the child was claimed as a dependent on the member's final return.
Dependent parents: Federal tax returns and financial records demonstrating that the member provided at least 50% of the parent's annual support during the 12 months before death.
Getting the Timing Right
Order the certified death certificate as soon as it is available. Report the death to TRS within 7 to 14 days by calling (877) 927-5877; the claim packet requires the certified copy. TRS's processing period is 4 to 8 weeks after document submission.
